Creative Services Coordinator

Position Summary:

The Creative Services Coordinator is primarily responsible for assembling, cataloguing, and preserving the physical and digital products in the archive area, and ensuring the assets are accessible to the company teams and clients. The Creative Services Coordinator collaborates with the designers and Creative Services Specialist. They also support the Creative Services Manager with department initiatives.

Key Responsibilities:

  • Organize and manage the archive and storage areas in both the corporate office and warehouse; this includes, but is not limited to, development samples, pre-production products, and final production products
  • Catalogue collections and manage information for digital records
  • Trouble-shoot physical and digital platform user issues; provide customer support, as needed
  • Liaise with internal teams that provide archival forms and products
  • Respond to all internal requests from teams; provide follow-up on all requests until completion
  • Advise users on how best to access both physical and digital archives; maintain user-friendly, computer-aided search systems
  • Manage and update project workflow processes
  • Implement folder and file naming standards, as needed
  • Ensure records are properly labeled and filed in a retrievable manner
  • Promote the archive area through company presentations
  • Organize training sessions on archival and creative services procedures
  • Identify ways of protecting and preserving the collections
  • Advise on the organization and storage of material to encourage organizations to plan for the future
  • Manage the photograph studio from organizing and setting up photograph equipment
  • Photograph communication and marketing needs, including marketing projects, employee profile images, and packaging samples
  • Organize photographs on the server/drop box and digital archive system
  • Mount and assemble comps and presentation materials
  • Research new packaging design
  • Organize the comping area as needed
  • Order department supplies when needed (e.g. inks, toner, polybags, shipping corrugate, etc.)

  • Demonstrate ability to complete all tasks with a high degree of accuracy, attention to detail, and follow-up
  • Ensure professional, accurate, and timely communication to complete tasks and resolve issues
  • Analyze and problem-solve effectively and efficiently
  • Work calmly and effectively in a fast-paced environment
  • Organize and plan for multiple customer accounts at one time
  • Oversee all phases of assigned projects to ensure completion within budget and schedule
  • Maintain a high level of confidentiality in all tasks

Minimum Qualifications:

  • Associate’s degree in Business Administration or similar area of study
  • 2 years of professional experience preferred
  • Basic Adobe Photoshop and Illustrator skills preferred
  • Basic understanding of the Mac OS X operating system
  • Basic understanding of the Microsoft Office Suite
  • Ability to lift up to 50lb boxes and ascend/descend ladders and stairs
  • Intermediate photography skills
